    Prorating Daily Rate

    I have to leave very early tomorrow for my sons sporting event. I need everyone to be picked up by 2:30. I did post about this before on whether or not you would prorate the early pick up or not. I have decided to prorate 1 out of the 2 pickup days.

    My question is. I have 1 dcb that is here from 8:00 until 3:30/4:00. I am open 7:30-5:30. To get an hourly rate, would you find the hourly rate for the hours that I'm open or the hours that he is here.

    Secondly, I need kids to be picked up by 2:30 and she wants to come at 1:00 so he can have a nap at home. So, should I start the prorating at 2:30 when I need to have them picked up or 1:00 when she actually comes? Thanks.

    Any advice guys? I need to get it worked out because she's paying me today. I should have added above that I charge $35 per day for anytime during my open hours of 7:30-5:30. So, no matter how many hours they pay $35.

      I don't prorate for early closing times.

      In your situation, I would break it down by hour and charge from opening at 7:30-2:30 closing.

        I don't normally do it either, but since this is so much earlier for some I thought I would. Kinda wish I wouldn't have now LOL! Thursday I have to leave an hour early and I'm not prorating that day.

        So when you would break it down by hour, you would break it to an hourly rate of $3.50 because I'm open from 7:30 - 5:30. Some only come from 8-3, but if I broke it down that way it would be alot more per hour. That's what I was thinking, $3.50 per hour and then if they normally leave at 4:00, then I would give them 1 1/2 hr credit. Does that make sense?

        What about the one that's going to pick up at 1:00 so he can go home and have a nap? Should I charge her until 2:30 because that's really when I need to leave?

          I think you should break it down hourly by the amount of time you are normally open. Convert that to the time you ARE going to be open and that should be your rate for that day.
          $3.50 x 7 hours = $24.50.

          For the mom who wants to pick up even earlier, does she normally pay you the full day rate of $35? If so then I would bill her the hourly rate UNTIL 2:30 as that is when you are closing.

          On a normal day if she chose to pick up at 2:30, you wouldn't discount her for the hour early pick up would you? If not, then I say bill EVERYONE the same daily rate for the early closure day regardless of when they are coming to pick up.

          $24.50 for everyone.

            Okay, that's what I figured 3.5 per hour. I would not discount if she picked up early for her behalf. I actually was going to discount based on how much time was between the 2:30 and their normal pickup time. For instance, the one family normally comes at 3:30, so I was going to give them 1 hour discount so they would get $3.50 off. The other family normally comes at 4:30, so I was going to give them a 2 hour discount (7.00). Does that seem fair? i hate to discount them to 5:30, when most aren't here that long. Or does that not sound right?

              How do you normally bill everyone? Does everyone pay the same daily rate regardless of what times they pick up or drop off?

              If everyone pays the same daily rate then I think your pro-rated day should be just one pro-rated amount without all the consideration for normal times and such.

              I think you are over thinking it a bit...

              Honestly I would just say $24.50 for everyone that day and leave it at that.

                Personally I wouldn't prorate in this situation. You are still dealing with the morning activities, snack, lunch and nap. For me, that's the busiest times of day, and the costliest (crafting is in the morning).

                But because you said you would, I would give everyone the same price, and only cut it a bit because it's only one snack they are missing. For a $35/day I would prorate to $30 for everyone.
