    How to Word This

    I have a mom who is part-time. My part-time hours are for 4 hours or less. Mom has been pushing the hours to 5 hours every day. I originally was ok with pushing it to 4.5 hours to allow for commute time but this is a bit much. I know where mom works (I used to work right next to her building) and I know exactly what the commute time is. It is taking her 1 hour 15min to complete a 30 minute commute. Our contract was also signed listing hours as 12-4:30pm. She is coming at 5pm consistently for the past two weeks. We are still in the "trial" phase.

    Here is my issue. I don't want to charge her a full-time rate but I do want to get paid and/or discourage her from taking her time picking the child up. I think if she had asked me I would have agreed but to just do it without any thought to me, my daycare or the contracted hours is bothering me. She is also standing in my entryway chatting with me and asking me a million questions while her child runs amok in my home. If this was happening at 4:20pm fine, but at 5pm you need to leave!! Yesterday she showed up at 5pm on the nose and then proceeded to sit in her car for 2-3 minutes before coming in Need to nip it in the bud.

    Any ideas on how to word this email? Do you think it's ok to just send an email and not address it face to face? I just don't want to get into it with her at 5pm

    Just a quick note but I wanted to touch base with you about your pick up times. Originally you stated that you would pickup by 4:30 but I've noticed that as of late the pick up time has crept increasingly closer to 5:00 which is also adding additional time to the 4 hours you enrolled for.

    I am wondering if we need to discuss or redo the contract or of this change is only temporary? Please let me know so that I am aware of the times you will need for care.

        One of my policies for half day care is if they need care beyond the contracted hours, I begin charging an hourly rate for any time outside the half day schedule (so $20/day for a four hour half day changes to $20 plus an extra $5 for the additional hour: $25 total). That way it helps me out with extra money to make up for the extra time, and helps them out by allowing the child to stay a little longer without getting charged a full day rate. But if you close at 4:30, you could let them know you cannot provide care after hours. OR charge them an even bigger "after hours" charge

          Yes this is exactly what I was thinking as well. If she wants to extend the hours she can but not without some sort of compensation for my time. I don't want to charge her a full time rate because her child mostly naps here but at the same time I don't want to provide extended care for free.

            LOVE bc's email. This is how I do it. My half day rates are X, but if you go over the 4 hours, it's $10 hour or portion thereof. I just hand them bills. They catch on fast.
