I'm doing a lot of research and looking at a lot of daycare websites and their policies when available. I see a lot of daycares offering drop-in care and have seen a lot of handbooks that say "if you're so many minutes late your spot for the day may be replaced with a drop-in daycare client." So I don't think it is uncommon to be double paid for a "spot". A lot of people have teacher's kids that pay a higher price for the school year to save some by not paying through the summer at FT rate. But they open up a summer time spot and make some extra money (because they were paid some for the teacher's child throughout the year and now filling it with another client).

I'm not sure this is anything different than those two scenarios, except your parent is butthurt because the holidays are coming up and it is an expensive time of year. Feels like bullying when parents pushes providers to bend their policies. If they signed it, then they need to work within that policy.

IMHO, if you can legally have both the child who isn't coming and the child who would be coming in care at the same time that day, then there is no discussion, you haven't "filled" anyone's spot if they aren't prohibited from coming due to numbers. In that case, they are simply an addition to the day, and since it is outside contracted days, they own you the $3 extra.

It's none of your clients business what you choose to do with your other clients. As far as they know, you'll refunded the money. They're just upset they have to pay for an extra day when they won't be using the day they're swapping from. Do they honestly think they should get that extra day free of charge since another family paid for it?

I would be tempted to point out that they don't get a free day on another clients dime so they need to hush themselves and pay if they really want the day. But I'm nice so I wouldn't
