    assistance families-how do they pay?

    I have an assistance family, in which I turn in a billing form every two weeks and get paid about 3 weeks later. The family pays me any amount assistance doesn't.

    For those of you that have families on assistance, how do they pay you? I guess I always worry that if they left without notice, they would leave with unpaid daycare fees, since they pay me weeks later.

    Any advice?

    I have ALL families pre-pay for care. I have an incoming family who will have assistance. She will pre-pay on Friday for the following weeks care and so on. Once her assistance is on her card and I receive the funds into my account I will reimburse her what she has paid minus what assistance didn't cover. Does that make sense? Here (ks) assistance pays $2 an hour. I do not charge an hourly rate. I charge a flat weekly rate. So she pays the difference as her parent pay.

      I do not have any "assistance" pay clients now but in the past they pay their copay and/or any extra I charge that the state did not pay...They do this weekly in advance....Our subsidy pay system is set up online so I would put in the hours on Sunday evening for the previous week and it would be direct deposit on the following Thursday. My " assistance" pay clients also were expected to pay for any days like vacation that the state did not pay for.

        All families on CCAP pay their co-pay prior to the 2 week service period.

        When they give me their schedules for that 2 weeks, they also pay the difference between what CCAP pays and what I charge. (I call this my parent fee)

        Rest assured that, IF a family chose to leave without paying you your required notice, CCAP is set up so that you can still bill for the final two weeks of care (IF it's in your contract that you require one) and the state will cover it.

        Also, if you ever have a family that does not pay their co-pay, you can let their worker know and they will not be eligible to receive assistance through CCAP again, until they pay you or set up an acceptable payment plan.

        I have been through EVERYTHING with receiving payment through CCAP over the last 20 years. I am seriously a pro at it and knowing the rules of the program as well.

          I also do all mine on-line and receive my reimbursement the following Wednesday/Thursday.

          I am one of 3 providers in my county that has been doing it on-line. We're slow up here.

            I have an enrollment fee equal to one week's pay. And then I figure what a typical week's fee would be and they are responsible for paying that EVERY week. If they end up owing more after I bill the state, I collect the difference then.

            If they up and leave, I figure I have the "enrollment fee" to cover what they stiffed me and since I'm collecting every week, it doesn't get out of hand. If they don't pay, they can't stay.
