    Help With Wording

    Effective today we our hours our close time is changing from 6 pm to 5:30 pm. Our breakfast is moving from 8:30 to 8 and our lunch is moving from noon to 11:30. I want to send out a reminder to the parents but am having trouble with wording.

    The main points I want to get across are:

    That we will NOT be feeding their child breakfast if they arrive after 8

    That 5:30 is the close time, not the arrive for pickup and take 10 minutes to leave time

    That we WILL charge late fees (we have always had them, but not charged as it wasnt a problem before but may be now, we have one family who routinely picks up at 5 till 6 when dcd gets off at 4)

    That I really dont want the fees, I want them to pick up on time, and I will eventually term if they keep picking up late. Our sons are in HS now and have sports so we need to be out the door at 5:30 some days.

    I would like to say this all in a nice manner if possible as there haven't been problems, I am just expecting them

    Just wanted to add that our fees right now are $10 for every 15 min. I want to change that to something stronger in our next contract change but I am not sure what will work best. I was thinking $1 a min then double each time late? Or maybe term on the 3rd late?

        Any idea how to word the policies themselves? I don't have in my contract that the close time is the close time not the arrive for p/u time so I think I probably need to clarify that. I have a list of fees in my contract but as I have never charged them I want to say something about them (but in a nice way if possible) - and that I really don't want the fees I want to be able to leave by 5:30!

          This is my dilemma, as well. Interested in how others would word it.

          As for the late fees, I think there was an earlier thread that suggested increasing the late fees each subsequent late pick up... with eventually a termination after x times. I think it was 3 times.

            Dear dcp,
            Just a reminder of the following policy changes effective immediately.

            If you are dropping your child off after 8 am please feed them breakfast prior to drop off as no breakfast will be served past 8am and your child will have to wait for the next eating time.


            The new closing time of our daycare is 5:30 pm. You will need to be here prior to 5:30 pm to make sure you do not acrue late fees of (whatever you decide). No care will be goven until All late fees are paid in cash. After one occurance of staying past. closing time, the late fees will double. On the third occurance of staying later than 5:30 immediate termination will occur. Thank you for your cooperation and understanding as we move forward with these new policies.

              Please note that meals will not be served outside these times
              If your child will not be attending breakfast on a normal contracted day, you must notify the provider by phone no later than 8:00am that day. Failure to notify will result in a $5.00 a day per child food waste fee.

              or

              • I understand that breakfast is served at 8:30 am each day. NO breakfast served after this time.
              • Children not present by this time must be fed and dropped off before class time starts at 9:05am.
              • I must notify provider by 8:15am each day if my child/ren will not be present for breakfast on any given day.
              • A food waste fee of $5.00 per child will be charged should I fail to inform provider that my child/ren will not be attending breakfast.__________(initial)

                Effective (date) there will be some scheduling changes at (daycare name).

                Our new hours of operation will be from (time) - 5:30pm. Please be advised that you must arrive prior to 5:30pm to pick up your child as we will be closing promptly at that time. Failure to do so will result in a $1.00 per minute late fee which will increase after multiple occurrences.

                Breakfast will now be served at 8:00am. Children must be present at this time in order to participate. No breakfast will be served to late arrivals.
