    Help With Wording...

    redoing my policies time.....

Parents need to pay for a week in advance. If a parent opts to pay 2 weeks at a time. I need a one week deposit so they will always stay current. I know I am not making sense....but I do need help in wording!

I don't think I understand what you're asking. I have some parents who pay two weeks at a time, they still pay in advance of the two weeks, so they're never in arrears.

That's what I was thinking, too!

I would just say all payments must be in advance and not worry about one week or two.

This is the best I can do with the information (feel free to change some details):

"Tuition will be paid a week in advanced to the week of care, due every Friday by 5 pm. If full payment is not paid by the following Monday care will not be given until the full tuition is paid. The same rules apply if you are on a bi-weekly pay schedule full tuition only both weeks are due during each billing cycle and tuition is due every other Friday by 5 pm"

If I understand you correctly- you want bi-weekly clients to pay at least one of their two weeks tuition so they are still paying in advance, correct? Personally I wouldn't offer that as an option because then you would never know what to expect for payments each week. You're essentially letting them dictate what they will pay you and when. Don't give them that option. I would say if they want to pay bi-weekly, then it has to be a full payment of two weeks, every two weeks.

The bolded area is not in my handbook but I added it just to clarify the different payment options for your clients. HTH.

This is how my payment section is written:

              Payment
All full-time and part-time tuition payments are to be paid in advance of care and are to be made payable no later than pick-up on the child’s first scheduled day of attendance that week, even if the child is not in attendance. If payment falls on a holiday, payment is due the on the weekday before. (No Sat. or Sun. payments) Tuition payments will cover the current week of childcare. Clients who wish to make bi-weekly payments must have a full 2 weeks tuition payable in advance of care. Drop-in Care payments are to be made at drop-off time. No exceptions!

Parents are responsible for payment in full for the agreed-upon hours, whether or not their child is in attendance. This includes part-timers as well as full-timers. No refunds/credits will be given.

Late payments will incur a $10.00 per calendar day fee. Childcare will not be provided with outstanding fees.
