Need Wording Help For Letter On Not Taking A Client

I need to let a family know I chose someone else for my upcoming opening and keep getting stuck on how to word it. I would love to take them on in the future, but I won't have the space until at least next September and its for a newborn where mom returns to work in the Spring so I doubt they'd find alternate care for 5-6 months but I'd still like to mention it.

Anyone have a good letter???

I don't see how that is the same question at all???? I am looking for a letter to let a family know I chose someone else. Don't see any sample letter in that post????

Thank you for taking the time to meet with me recently. At this time, the remaining opening I had has been secured.

If you are interested, you are welcome to be placed on my waiting list for future openings.

Is it normal to give a letter for a family you haven't taken on? In the past I just make a phone call and let them know I've accepted someone else or when the family calls to say they do in fact want a space, I've told them sorry but someone else had already taken the spot. I've never done a letter to tell them or for my files. I would keep it simple if you do!

we've communicated mostly by email so I want to send a letter that way. They said they wanted the spot but I had other interviews scheduled for that week so told them I'd get back to them - so that's where I'm at now - need to write back to them and want to be kind and let them know I filled it but would love to take them in the future.

I always contact families that I interview. I can understand the time these families take out of their day to meet with several providers. I'd hate for someone to want to call me after interviewing and have to turn them away over the phone. Personally, I think that would be much harder.

I always tell families I interview how many spots I am looking to fill, when the openings are available and when they can expect to hear back from me. Many contact me thanking me for my time if they have found someone, else so I do the same. A quick email is all it takes. Plus, I met a mom last October. Didn't have an opening until October. She started November. She found someone else for 6-7 months and as soon as I contacted her about the opening, she was ecstatic and jumped on the opportunity.
