I have two part time families in my care right now that use my earliest available drop off time of 7:30am. Both families only use the 7:30am drop off time approximately 6 times/month each and both families are scheduled in with me for a minimum of 12 days each month. When neither of these families uses my 7:30am drop off I do not open the daycare until 8:00am (my next drop off time). Lately I have been having problems with one of the two families scheduling me in for a 7:30am drop off and not showing up until 8:00am. I drafted up this letter to send to the family please give me your input so I can alter it, add to it, or take from it before I send it today. Thanks so much!
****** & ******,
This letter is regarding your morning drop offs. At the moment I only have one other part time family that occasionally drops off at 7:30am besides yourself. Due to this on most occasions my daycare doors only open at 8:00am when my next drop off time is scheduled. On days that I open at 8:00am that means an extra half hour of sleep for me as I only get up an hour before I open.
Lately I have been finding that on the days I have your family scheduled to be here at 7:30am, you are not showing up until 8:00am or later. This does cause an inconvenience for me because had I known previously I would not have any children until 8:00am I wouldn’t get up so early.
At this time I would still like to keep the 7:30am drop off time as an option for your family, however, in the future I will need you to either email me or text me the night before if you are going to be later in the morning dropping off. If you do not email me or call me the night before and you still show up late you will be charged an inconvenience fee of $10.00.
As you already know I run upwards of a 10 hour day with the children with an additional hour or more on my own clock doing preparations, running errands, etc... With this being said it does mean a lot to me when I am able to shave 30 minutes off of my day. Thank you in advance for you cooperation and understanding in this situation!
Sincerely, *******.
