    Parent Handbook

    Hours and Days of Operation

    Regular operating hours are Monday to Friday: 7:00 a.m. to 5:00 p.m.

    Holidays:
    · Daycare will be closed with pay on all Federal Holidays. If the holiday falls on a weekend, daycare will be closed in accordance with the Federal government’s observation schedule (generally the following Monday).
    · Daycare will be closed with no pay on these additional days: The day after Thanksgiving and Christmas Eve.

    Other Closings:
    ·Provider shall be allowed five days of paid vacation for each calendar year. Advance notice will be given.
    · Provider shall be allowed three paid sick days for each calendar year. Provider will make every attempt to schedule a substitute before deciding to close.
    · In the event that the provider must close the daycare for any other reason, there will be no charge for those days. Whenever possible, parents will be made aware of the closing with as much advance notice as possible.

    **Parents are responsible to have back-up care available in case of closings.

    Weekly Fees

    Weekly fees are based on booked days not attendance.* Refunds and credits will not be given for days where your child does not attend.*

    Full Time (5 days per week):*$160.00 per week
    Part-time (3 or 4 days per week):*$40.00 per day**

    *If a child does not attend daycare due to vacation, sickness, etc., the provider offers the following guidelines. For five days of the year, a child may not attend and pay only 50% of the weekly fee. Please realize that although your child is not present, the provider is still holding their spot. After a child has taken five days of vacation at the 50% discounted rate, full weekly fees are owed for all other days missed due to vacation or other reasons.
    Parents are responsible for notifying the provider that they would like to use one or more of these discount days.

    Payment Policy

    All weekly fees will be paid every Monday, in advance.** (Part-time fees will be paid the first day of the week that a child attends).* If weekly payments are not paid in full, in accordance with our agreed upon schedule, there will be a $10.00 per day late fee. Unpaid fees are subject to immediate suspension or termination of care unless reasonable arrangements are made and accepted by both parties.

    Full time and part time fees are based on booked days, not attendance, therefore parents are responsible for fees whether child attends or not. (With the exception of five days of vacation, as described in the

    “Weekly Fees” section)*

    Cash or checks (made payable to *(*) are acceptable forms of payment. An online payment system is also available, which allows payment to be electronically deducted from your bank account each week. Please let me know if you’d like to take advantage of this payment method and we can discuss the details further.

    There is a $45.00 fee for all returned checks.**Upon a second occurrence of a returned check, all subsequent payments must be made in cash. Weekly receipts are emailed to parents and tax papers are provided at the end of the year.

    Inclement Weather Policy

    Daycare will remain open in cases of snow or other inclement weather. If you choose to keep your child home, regular payment is still required. However, if the governor declares a State of Emergency, you may keep your child home without paying for the day. If there is a State of Emergency and you must still report to work, please talk to me about the situation as it arises. I will still accept payment for the day and care for your child as usual, as long as you can guarantee a safe, timely pick up.

    Drop Off Guidelines

    Beginning January 2, 2012, no drop offs will be allowed between 9:30am and 10:00am daily. During this time, we are doing our daily circle time routine. It is disruptive to have children arriving as we read stories and work on our preschool curriculum, so please arrive prior to 9:30 or after 10:00*.

    *Generally, we leave the house after our 10:00 snack. Our departure time is usually between 10:15 and 10:30, or possibly earlier if there is a special activity we are going to. Therefore, it is very likely that we will not be home for drop offs after 10:00am. If you would like to meet us a thte library or park, I will try my best to respond to a text or phone call in order to tell you where we are. However, the children are my priority during this time, rather than my phone, so I may not see messages or hear a phone call immediately.

    Because I do love planning special activities for the kids, both in advance and on the spur of the moment, please continue to communicate with me about drop off and pick up times. Our new contract will state your updated estimate for times of drop off and pick-ups, as well as anticipated meals that your child will be present for. If there is a day where you find yourself straying from that general schedule, please simply send me a text message. Food is easily wasted if I prepared for children that arrive late or do not show up. It is also difficult to prepare art projects and learning activities if I do not know how many children will be attending at any given time.

    Late Arrival and Late Pick-up Policy

    Please advise the daycare prior to 7:30 am if your child will not be attending daycare that day. You may call as early as 7:00 am or send me a text message if you make the decision at an earlier time. Additionally, if you foresee an arrival that is significantly later than your scheduled hours, please give me a heads up as soon as possible. This communication helps me plan meals, activities, and trips accordingly.

    Please advise the daycare if you will be arriving later than the pre-arranged time to pick up your child.* All children must be picked up no later than 5:00 p.m. Please notify the daycare if an unauthorized person will be picking up your child.* Verbal/written permission must be received before I will release a child to anyone who is not authorized on the registration form. In the event that a parent*cannot be contacted, I will call the emergency contact 5:15pm. A late fee of a dollar per minute will apply if a child remains in care after 5:00 pm unless prior arrangements have been made.* This late fee is due and payable upon pickup or prior to the next day’s care.


    Illness Policy

    Parents agree that a child who is ill (eg. fever, infection, diarrhea, communicable disease, or any other type of illness that may be passed on to others)*will stay home to protect the well being of my family and other children in my care.* Should your child become ill while in my care, arrangements must be made to pick the child within one hour. Children cannot return to daycare until they have been symptom free for 24 hours. (A child who leaves daycare with contagious symptoms during the day will not be able to return the following morning). In some cases, a note from a doctor may be necessary.
    Substitutes

    Three people are on file as substitutes for *&*. These people have the right to care for your children in case of provider’s absence. They may also be present at the same time as the provider, in order to offer additional support for special activities.

    Food Services

    Provider will serve breakfast, lunch and two snacks each day. The nutritious meals and snacks (and an occasional treat J) are included in the weekly fee. Parents agree to sign a form to confirm their child’s enrollment in a federal food program. More information about the program, which requires the provider to follow healthy food guidelines, is available upon request.

    Please realize that meals are served at specific times and food will not be saved for children arriving later than the set times. The meal schedule is currently as follows and if it should change, parents will be notified of the new times.

    Breakfast-8:00am

    AM Snack-10:00am

    Lunch-12:00pm

    PM Snack-2:45pm

    Snacks and lunch may sometimes vary by up to 15 minutes (earlier or later), depending on the flow of our day. Breakfast, however, will always be served at 8:00am.

    Food From Home

    Because all meals and snacks are provided, please leave the extra drinks and snacks at home. If your child is eating or drinking on their way to daycare, they will be asked to discard it upon arrival or put it in their backpack. The food program suggests that providers enforce this policy because the food that I am providing follows the federal guidelines for nutritional meals. Any additional food and drinks are extra calories and these snacks may cause the kids not to eat the food I am providing. Additionally, from a provider outlook, it can potentially cause problems with jealousy because one kid has something different than another.

    Discipline Policy

    At *()&, the discipline policy focuses on teaching children acceptable behavior and social skills, as well as building their self-esteem. Redirecting is a common technique; Provider will discuss the child’s actions with them and point them on a new, better path of behavior. Verbal apologies may be needed, as well as time-outs (appropriate to the child’s age). Time outs let children calm down and think about what has happened.

    Physical punishment is never acceptable. Additionally, the provider will never withhold a food as a source of punishment. The emphasis will be on positive reinforcement, encouraging good behaviors rather than focusing on negative ones.

    Bathroom Policy

    All preschoolers must be potty-trained. The provider will assist in the bathroom as necessary (ie: with clothing and washing hands) but this does not involve changing pull-ups or diapers. An occasional accident is certainly understandable but the provider reserves the right to terminate care if it becomes evident that a child is not potty-trained.

    Nap Time Routine and Expectations

    The state of Maryland requires child care facilities to implement a rest time for all children. Our rest time is generally from 12:40pm-2:40pm daily. Children are allowed to read books between lunch and rest time, which helps them transition into this period of relaxation. The lights are turned off and soft music is played. Everyone is required to lay on their cots quietly during this two hour rest period. We have a busy schedule and most children take full advantage of this time to sleep. If a child does not fall asleep, he or she must respect the rules and use this quiet time to relax their bodies. During the last ten minutes, children who are awake may quietly look at books while they wait for the rest of their friends.

    Children may not be dropped off between 12:30pm and 2:45, as it is disruptive to have children arriving during nap time (for both the children who are already here and the child who has to arrive and immediately go down for a nap). If you are picking up your child during nap hours, please do so quickly and quietly. Please let me know when you will be arriving and I can wake them up a minute early to get them ready for you, as this helps with disruptions. Additionally, if you need to contact me for another reason during nap, please use my cell phone number. The outside world seems to love calling the house line during this time, so please help me limit that interference to the children’s naps. )

    Nap Supplies

    *&) provides a sleeping cot or mat for each child to rest on.

    Parents are required to provide the following:

    · a crib sheet for their child’s sleeping equipment (taken home weekly to wash)
    · a blanket
    · pillow (optional)

    Other Items Supplied by Parents

    · One complete change of clothes (including undergarments and socks) to keep at the daycare

    My program is very hands-on and we get messy. ) We paint, draw in shaving cream, and go outside even if it’s a little muddy. The paint is washable kid paint, so I generally don’t bother with smocks. Smocks can create an obstacle for little ones to move around in and that creates more of a problem than anything else.

    Therefore, Please send your child in appropriate play clothing each day and make sure to keep an extra change of clothes with me at all times.

    Toys from Home

    Children are allowed to bring toys from home, as long as the following three things are understood: 1. They must share the toy with their friends. 2. The children are responsible for keeping track of their toy. 3. I am not responsible for any toys that are damaged during their time at daycare. Therefore, if there is a tyo that is extra special to your child or easily breakable-Please let it at home. We have plenty of toys here. )

    * Medication Administration

    Regulations permit childcare providers to give prescription and non-prescription medication to children in care under certain conditions with prior written permission (Section A) from the child’s parent/guardian. A separate form is needed for each prescription or non-prescription medication to be administered to the child.

    Prescription medications must be in a container labeled by the pharmacy or physician with the child’s name, dosage, and expiration date. At least one dose of prescription medication must be given at home prior to the child’s arrival at daycare.

    Non-prescription medications must be in the original manufacturer’s container labeled with instructions for dosage and expiration date. Except for acetaminophen (Tylenol) and other topical medications, a provider may administer only one dose of non-prescription medication to a child per illness unless a licensed health practitioner provides written approval (Section B) for the administration of the non-prescription medication and the dosage. All medication shall be administered according to the instructions on the label of the medication container or a licensed health practitioner’s written instructions, whichever are more recently dated. An adult should bring the medication to the provider.

    Walking and Driving Field Trips

    *)* pond and park are both within walking distance of *(&. Parents agree that the provider may take the children on a “walking field trip” to do nature walks around the pond or play in the park. Additionally, parents give ME the right to transport their child on car trips to places such as parks, libraries, bookstores, etc. Children will be secured in an appropriate car seat or booster.

    Parents agree to pay the cost for each monthly field trip. All trips are meant to be engaging, fun, educational experiences for the children. I work hard to find the best activities for the lowest costs and I will always give you notice of these in the monthly newsletter. Therefore, if there is ever a field trip that you do not want your child to attend, you will have advanced notice to make alternate child care arrangements for that day.

    Gym Time

    Rolly Pollies gym is a great place for the kids to have fun and develop gross motor skills. After taking the kids there and seeing the wonderful environment, I think it is time to make this a recurring trip! Therefore, in addition to a special monthly field trip, we will be going to a 1 hour open gym at Rolly Pollies once a month. Parents are responsible for the $10.00 fee, which will be collected on the first business day of each month. A reminder will be posted by the sign-in sheet.

    Pets

    An indoor cat, named Rascal , resides in the home. By signing this contract, parents acknowledge that they are aware of this situation. The cat will be kept up to date on all necessary vaccines and her food and litter box will both maintained with the safety of the children in mind.

    Permission to Photograph

    Parents give ME permission to photograph their child, in order to use the pictures for art projects and/or post them on the daycare’s private blog. If parents do not agree, this will be noted in the “special circumstances” section.

    Trial Period, Withdrawal or Termination

    This contract includes a one week trial period. After one week of care, either the parent or provider may choose to void the contract immediately if DAYCARE does not appear to be an appropriate fit for the child.
    At any time after the one week trial period, two weeks of written notification is required for either parent or provider to terminate childcare. However, DAYCARE reserves the right to suspend or terminate care of any child without notice, should it be deemed*necessary for the overall safety and well-being of my family, home, and/or other children in my care.

    Deposit/Registration

    A non-refundable deposit fee of $160.00 (per child) is required upon completion of registration to secure your child's placement in care.* This deposit is non-refundable and will serve as your first week’s payment.*Spaces will not be held unless the deposit fee is paid in full. I do not charge a “security deposit”, so please respect my policy of two weeks notice if your child will discontinue enrollment with DAYCARE







    Registration is not complete, and care will not commence until all the paper work is done.* Prior to the start date of care the following must be received:**

     Health Inventory (completed by parent and doctor)
     Emergency Form (both sides, including doctor’s signature when necessary)

    do you work on contacted hours?? and are you only open M-F or weekends too?? sorry I just caught that it said M-F..

      Nope, just 7-5 for one fee. I just ask for a general schedule for planning purposes.

      Only Monday through Friday.

      Should I take out "Regular" Hours?

        yeah...i wouldnt offer general hours. you'll end up having every kid there from 7 on the DOT to 5:00 EVERYDAY. I would do contracted hours.

          Sometimes I do, sometimes I don't. Many of my parents have varying work schedules and I don't mind if they do other stuff during the day as long as they are not here before 7 and gone by 5. I rarely have any problems and contracted hours just wouldn't fly in my area. If they would, I might try.

            Please make it clear that the children may not attend any days of daycare during this time.

            Also parents must give you ***X amount of days notice if being used for vacation. Trust me when I tell you this will help you a lot. Much better than getting a phone call the morning of, or night before and parents say :Johnny wont be there all week and now you are short $160.00 you were not expecting....Or even worse if it is siblings......

            I would also say that if a child is sick, that they will be expected to pay for the first week that they are out and receive the second week at discount. This will give you a heads up....Or you can have them still pay for the week that the child is out and then discount the week they come back so that you will be able to plan for it... NOt that only that, if they are not required to give notice, then they will try to use this when they leave as part of their termination....

            Which you should also state that vacation/sick days must be used before terming care and cannot be used in conjunction with termination days....
            Basically I am trying to say to plan for when you will have your income cut....

              Ditto this...
              contracted hours also help with your planning, knowing when to expect the chidlren to come and go. It will help with the flow of parents in your house, not having them there all at one time. It is very hard when several parents are picking up....You don't know who to talk to or who to pay attention to and some times parents leave feeling as though you didn't converse with them..

                does this mean that they can book their days every week with different days? Or would you like them to attend the same days every week??

                I have a set up that shows M-F along with times and then I state the following:

                1. I understand that the above listed days and times will be the hours that my child is entitled to use the daycare

                  this could get you into trouble... I would implement the NO pay NO stay policy.

                  You never want the parents to OWE you money for services already rendered.
                  I find (for me) that if I give them until Monday to pay, they had time to spend their pay check over the weekend and then don't have enough to pay daycare fees. This happened to me in the beginning when I started too.

                  I have every family pay on the last day of the week that they attend care, one week in advance. This way if they forget, then they have time to get it to me by Monday morning. Of course there will be a late fee attached to it. AND if Monday comes and they don't hand me the payment, then their child cannot stay. Again late fees will accumulate until the fees and late fees are paid in full if their child is in attendance or not.

                              Nope, I'll take any suggestions or thoughts you have. I don't run my business exactly the same as you I'm sure, which is why I said I'll take things into consideration. For example, I won't turn a kid away because their parent doesn't pay. I charge a late fee and enforce it consistently, and the parents know that. I can't imagine telling a 3 or 4 year old, "No, go home. Mommy doesn't have money." My kids aren't babies and this would truly effect them and their happiness. No judgment on the 'no pay not stay policy'. I totally get it's purpose...I just don't think it's worth it. If I truly had a parent who didn't pay then I'd give them notice that they are being terminated. Luckily, I have only had a few that are even late and they just chalk up the 10 dollars a day.
