I do both. I tell them verbally and in writting. The written notes however are in two. One copy for me to put in the parent file (Parents signs and dates the change) and the second copy is for parents to keep.
I updated my policies at the beginning of the year, and included a letter to parents, explaining the new policy update. I had them all sign that they read and will comply with the policies. I added more vacay days so I wanted to make sure they signed it.
In the letter I attached with it, I was sure to write something really nice about each child, (***** brings smiles to our faces everyday, etc), and I also included some of the things we are going to be working on this year with the kids. I do a preschool enrichment program, so I told them what we are focusing on.
No one had a problem with it, even though I was nervous for about 3 weeks before I handed it out.
Maybe you could do a nice note, add it to the policies, and let them know you are a little late getting the annual handbook together this year, but please read/initial compliance with the policies.
I also told them at pickup I had a packet for them, and please call with any questions or concerns. I felt bad bc I changed my policies 1 month after one kid started, so I told their parents if they had any major problems with the new policies I will make accommodations for them. I didn't want them to think I did a bait and switch- they were 100% fine with the new policies and I had no issues.

Wow, thats a really good idea! Wish I would have done something like that. As you may have seen in a previous thread of mine, right now only 1 family will be affected by this policy change...I will no longer accept state subsidy.
I update my policies and all paperwork effective July 1st each year. I opened in August 2008 and have several teacher's kids so that's my calendar year. That way all reg forms and contracts are always current. And I can change any policies at that time. I did change my medication policy in November this year. Sent out a new OTC med permission form with a cover letter that parents had to sign and return within 2 weeks.
